IB Tutor Agency in India: How Agencies Work and What to Ask

It chooses for you and stays accountable for the choice. A marketplace publishes profiles, lets you filter, and leaves the screening, the negotiation and the follow-up to you. An agency takes a written requirement, searches its own screened pool, proposes a small number of tutors, and expects to be called if the arrangement stops working. That accountability is the whole product, so the right test of an agency is not how many tutors it lists but what it does in week four. If the answer is nothing, you are paying agency rates for a marketplace.

Ask, and get the answer by email before paying. Both arrangements exist in India: some agencies contract with you directly and pay the tutor themselves, while others introduce the tutor and step back, leaving the agreement between you and that individual. The difference matters when a session is missed, when a refund is discussed, or when you want to continue with the same tutor next year. Also ask what the policy says about engaging the tutor directly later, because an unwritten understanding on that point turns into a dispute at exactly the wrong time of year.

A reasonable agency offers a replacement at the same terms and passes on the record of what has been taught. That record is the part families forget to ask about. Without it, the new tutor spends three sessions rediscovering what the last one already knew, which is why you should ask for written session notes from the first week, not the first crisis. Ask specifically whether the replacement is offered at the same rate, how quickly, and whether unused sessions carry over. If the answers are vague now, they will be vague in September.

Usually yes, if a tutor for that subject already lives or teaches in that pocket. A home visit on a weekday evening depends on the tutor's other bookings far more than on the agency's coverage map. Along Golf Course Road or in Thane, a tutor who already teaches two families nearby can add a third slot easily; one travelling in from across Delhi NCR or from south Mumbai often cannot hold it past January. So ask where the named tutor lives and what else they teach that evening, before agreeing the day.

Sometimes, and it carries a complication worth naming. A teacher who teaches that course every day knows the school's scheme, the internal deadlines and the assessment style better than anyone an agency can send. But if they also teach your child at school, feedback becomes harder to question and the relationship gets uncomfortable if progress stalls. Many schools also have their own policies on staff tutoring their own students. Check that first. A teacher from a different school often gives you the syllabus knowledge without the conflict.

Treat unverifiable numbers as decoration and ask about the one tutor instead. Counts of tutors on the books, success percentages and results quoted without context describe a selected group, not your child, and none of it can be checked from outside. Replace every claim with a question: which course has this tutor taught, at which level, for how long, and what would they do in the first four weeks. A good agency answers those in a few minutes. A weak one returns to the brochure, which is the answer you needed.

Not without written cancellation terms, and rarely before a trial session. Paying a term up front is common enough and it is not automatically a warning sign, but it should buy you something in return: a fixed number of sessions of a stated length, a named tutor, a clear notice period and a stated position on unused sessions. Ask what happens if the student falls ill for a fortnight, or if the tutor withdraws in week six. A few sessions paid at a time is a fair first arrangement while everyone works out whether the match holds.

Honestly, it can offer you an online specialist, and that is usually the right answer. Outside Delhi NCR, the pool thins quickly in Jaipur, Lucknow, Dehradun, Chandigarh, Ludhiana and Kanpur, particularly at Higher Level and in the Diploma core. An agency that promises a home visit in those cities for a scarce subject should be asked for the tutor's locality before any payment. A hybrid arrangement sometimes works: a local tutor at home for a mainstream subject and an online specialist for the one nobody nearby teaches.

Within limits, and the limits matter more here than anywhere else. A tutor can teach the skills an investigation needs, discuss the shape of a research question, explain a criterion, and give feedback on the student's own draft. The writing and the analysis have to be the student's, and the school's supervisor remains in charge of the Extended Essay. Any agency offering to produce, heavily rewrite or supply an Internal Assessment is offering academic misconduct with a different name, whatever it is called on the invoice.

A first shortlist within a few days is reasonable; a tutor named within an hour usually means no matching was done. Speed depends on the subject and the slot rather than on the agency's efficiency, so an SL Economics request for a Saturday morning fills faster than an HL Chemistry request for six o'clock on a Tuesday in an outlying suburb. Ask for an honest estimate at the first call and ask what will be sent if the ideal match is not available. Availability always depends on subject, level and schedule.

The board, the programme, the year, the exact subjects and levels, your school's calendar including mock dates, your locality, and the days you can genuinely hold. Then something about evidence: the last report, a marked script, what the subject teacher wrote. If nobody asks for evidence, the match is being made on your description of the problem rather than on the problem. Parents are usually right that something is wrong and often wrong about what it is, which is exactly what a diagnostic first session is for.
